Government Letter Format (Nepal) — Required Structure & Examples

The standard government letter format in Nepal follows a fixed structure: recipient block, date in BS calendar, subject line, formal salutation, body, closing phrase and signature block with name and designation — usually printed on official letterhead and signed in blue or black ink.

What fields are required in a Nepal government letter?

Required: recipient title and office, date in BS, reference/file number (चलानी नम्बर), subject (विषय:), formal salutation, body, closing (भवदीय/आज्ञाकारी), signature with name and designation. Optional: enclosures list, CC list, office logo on letterhead.

How should the date be formatted?

Use BS (Bikram Sambat) format in the top-right corner — e.g. मिति: २०८०/०२/१५. Many letters include both BS and AD dates. Use Devanagari numerals (०, १, २…) for the BS date in formal letters; AD dates may use either set.

How does the subject line work?

Start with 'विषय:' and follow with a concise statement — for example 'विषय: बिदा सम्बन्धमा।'. Subject must be specific enough that the recipient can route the letter without reading the body. Avoid generic subjects like 'अनुरोध' alone.

What signature block format is expected?

Below the closing phrase include space for the signature, then the typed name on one line, designation on the next, and office name below that. For digital submission attach a signature image. For printed submission sign in blue or black ink before scanning.
